If you want Claude, ChatGPT, Codex and Cursor to read the same short, current business facts, keep some notes where agents can never see them, and pay once for the whole team, LotsNotes is the better fit. If your team wants a full wiki editor with realtime collaboration, comments, SSO and the option to host it yourself, choose Outline. Outline's source code is public and it runs on your own server, which is a real strength.

I built LotsNotes for one job: holding the context every AI agent needs (what you sell, who it's for, how you sound, the rules and the decisions) in one place all your agents read. Outline is a team knowledge base with a built-in MCP server. Everything about Outline below comes from its own pricing page, MCP docs, home page and GitHub licence, checked on 27 October 2026, with links at the end.

## LotsNotes vs Outline at a glance

| | LotsNotes | Outline |
|---|---|---|
| Built for | Business context every AI agent reads: positioning, voice, rules, decisions and agent instructions | A team knowledge base and wiki: realtime editing, comments, templates, sharing and search |
| Agent access | Remote MCP at `https://api.lotsnotes.com/mcp` with OAuth, plus a REST API with a key | Built-in MCP server at `https://<yoursubdomain>.getoutline.com/mcp` (your own domain plus `/mcp` when self-hosted), OAuth or an API key as a bearer token, Streamable HTTP only; an admin can switch it off |
| What the agent can do | Tools in [tools.json](https://api.lotsnotes.com/tools.json), 31 listed on 27 October 2026: find and read notes by title, create, update, move, archive, trash and restore notes, manage folders and workspaces, list and restore versions, invite and manage members | Outline's docs say agents can search, read, create and edit documents in your workspace |
| Keeping things from agents | Private notes are never returned to agents, the API or any sync. Shared notes follow roles (owner, admin, member, viewer) | Groups and user permissions decide who can access documents; MCP can be turned off for the whole workspace by an admin |
| Instructions agents read first | A note titled `AGENTS.md`, at workspace level (reaches every folder) or in one folder | A guidance field in settings that tells the client how to use your knowledge base |
| Hosting | Hosted at lotsnotes.com | Hosted by Outline, or self-hosted on your own infrastructure |
| Price | Free for one person (1 workspace, 3 folders, unlimited notes and checklists, MCP and REST). Pro is $99, pay once: unlimited workspaces, folders and team members | Cloud: $10 a month for 1 to 10 members, $79 for 11 to 100, $249 for 101 to 200, with a 30-day free trial. Self-hosted: Community Edition $0 with limited features and no support; Business $4 and Enterprise $5 per user a month billed annually |
| Scope | Notes and checklists | Docs, realtime collaboration, comments and @mentions, templates, 20+ integrations, public sharing, custom domains |

## Where LotsNotes is the better choice

### Private notes agents never see

In LotsNotes every note is shared or private. A private note stays on lotsnotes.com and never comes back through MCP, the REST API or any sync. To an agent it looks like it doesn't exist. Shared notes follow your workspace roles, so a viewer reads and a member edits.

That matters when the same tool holds the facts you want your agents to use and the things you don't: salary notes, investor updates, a half-formed pricing idea. In Outline, access is decided by groups and permissions on documents, and Outline's MCP page describes an on/off switch for the whole workspace. In LotsNotes the line is drawn per note.

### Built around how an agent picks up context

An agent working for you rarely needs the whole knowledge base. It needs your house rules, plus the notes for the job in front of it.

- **A note titled AGENTS.md is read first.** At workspace level it reaches every folder, so rules like "never promise delivery dates" apply everywhere. A folder can hold its own AGENTS.md for one client, product or agent.
- **Workspace notes come back with every folder.** When an agent calls `lotsnotes_find_context` for a folder, it gets the workspace notes plus that folder's notes, each with a one-line summary, and reads only what the task needs.
- **Every note carries its link.** Each note an agent reads or saves comes back with its lotsnotes.com URL, so it can hand you the page to review.

Our own AI agents keep their instructions, plans and handoffs in LotsNotes, and Claude, Codex and cloud agents read them from there. I wrote up the file conventions in [AGENTS.md vs CLAUDE.md](https://lotsnotes.com/blog/agents-md-vs-claude-md) and what each agent remembers on its own in [AI agent memory vs shared notes](https://lotsnotes.com/blog/ai-agent-memory-vs-shared-notes).

### Pay once, for the whole team

Outline Cloud is priced by team size: $10 a month for up to 10 members, which is $120 over twelve months, then $79 a month for 11 to 100 members, which is $948 over twelve months (Outline's pricing page, checked on 27 October 2026). LotsNotes Free covers one person with MCP and REST included. When your team joins, LotsNotes Pro is one payment of $99 for unlimited workspaces, folders and team members with roles.

Outline gives you a full wiki editor for its price, so this is about the price model, not like-for-like scope. If what you need is shared context your agents read, $99 is the whole bill. One option is cheaper than both: Outline's Community Edition has no licence fee, but it is self-hosted, with limited features and no support, and you run the server.

If you already hold a Pro or Business plan of LotsSocial, LotsBlog, LotsTeam, LotsCRM, LotsInvoice, LotsBusiness or LotsStore, LotsNotes Pro is included while that plan is active. See [pricing](https://lotsnotes.com/pricing) or [LotsNotes pricing explained](https://lotsnotes.com/blog/lotsnotes-pricing-explained).

### A free plan, MCP and REST included

LotsNotes Free is a permanent plan for one person, with MCP and REST on it. Outline Cloud starts with 30 free days, after which the knowledge base becomes read-only until you add a payment method (you can export your documents meanwhile).

Cloud agents and scheduled scripts that run without a browser use the LotsNotes REST API with a key from the API dashboard. Claude, ChatGPT, Claude Code, Codex and Cursor connect to the MCP server and sign in with OAuth. One URL works for every workspace, with no subdomain to substitute.

### Agent edits you can undo

Every save in LotsNotes keeps a version, and your agent can list versions and restore an earlier one itself. If someone changed a note while the agent was working, a save sent with `expected_version` returns a conflict instead of overwriting their edit. The Workspace page lists every connected app with when it was last used, and you can disconnect one everywhere.

## Where Outline fits

Outline is a polished team wiki, and its strengths are real:

- **A full editor for a team.** Realtime collaborative editing, comments with @mentions, templates, public sharing and custom domains.
- **Self-hosting.** Its home page says the source code is public and you can host it on your own infrastructure. Outline's own pricing page lists a free Community Edition, and its docs show the MCP URL as your own domain plus `/mcp`.
- **A flat price for small teams.** Up to 10 members for one monthly price, with unlimited documents and version history.
- **Enterprise features.** SSO on every cloud plan, a security audit log, groups, and on the self-hosted Business and Enterprise plans guest users and SAML 2.0.
- **A built-in MCP server.** Agents can search, read, create and edit documents, and a settings field lets you add guidance for the client.

If your team already writes its docs in Outline, or you need to host the wiki yourself, connect Outline's MCP server and keep going.

## Which one should you choose?

**Choose LotsNotes if:**

- You use more than one AI agent and want every one of them reading the same business facts.
- You want some notes agents can never see, in the same tool.
- You want AGENTS.md instructions that reach every folder, and agents that read only the notes a task needs.
- You want MCP and REST on a free plan, and one $99 payment when your team joins.

**Choose Outline if:**

- You want a team wiki with realtime editing, comments and templates.
- You want to host the knowledge base on your own server.
- Your team already works in Outline, or needs SSO, an audit log or SAML.

## How to switch, or run both, from your AI agent

You don't have to pick one forever. A setup that works well: Outline stays where your team writes long documents, and LotsNotes holds the short, current context every agent reads first.

1. Connect LotsNotes: add `https://api.lotsnotes.com/mcp` to your agent and sign in. The [setup page](https://lotsnotes.com/mcp) has the steps for each agent, and [this guide](https://lotsnotes.com/blog/connect-claude-chatgpt-codex-cursor-to-lotsnotes) walks through them.
2. Keep Outline's MCP server connected in the same agent.
3. Give the agent this prompt:

> Use Outline to find our documents on positioning, brand voice, pricing rules and current decisions, and read each one. Then in LotsNotes: list my workspaces and use the one for this business. Create a folder called Marketing. Create a workspace-wide note titled AGENTS.md that says, in under 300 words, who we are, who we sell to, how we write, what agents must never do, and that long documents live in Outline. Then create one shared note per topic in the Marketing folder, rewritten as short, current facts. Give me the lotsnotes.com link for every note you create.

In LotsNotes that runs on `lotsnotes_list_workspaces`, `lotsnotes_create_folder` and `lotsnotes_create_context_note`. When a decision changes later, ask any agent to update the note: it reads it with `lotsnotes_read_note` and saves it with `lotsnotes_save_context_note`, and the old version stays in history.

Anything personal or sensitive you move over, mark private on lotsnotes.com, and no agent will see it.

## Common questions

### Is LotsNotes an Outline alternative?

Yes, for giving AI agents your business context. Both have a remote MCP server with OAuth that Claude, Cursor and Codex can connect to. LotsNotes adds private notes agents never see, AGENTS.md notes that reach every folder, a REST API for cloud agents, and a one-time $99 Pro instead of a monthly price by team size. It doesn't replace Outline's realtime editor, templates or self-hosting.

### Is Outline open source and can I self-host it?

Outline says its source code is public and development is done in the open, and you can self-host it. Its GitHub licence is the Business Source License 1.1, which the licence text itself says is not an Open Source license; it converts to Apache 2.0 on 23 October 2030, and its additional use grant does not allow running it as a commercial service for third parties. Outline's pricing page lists a Community Edition at $0 with limited features and no support (checked on 27 October 2026).

### How much does Outline cost?

Outline Cloud is $10 a month for 1 to 10 members, $79 for 11 to 100 and $249 for 101 to 200, with the first 30 days free; annual pricing is available. Self-hosted, the Community Edition is $0, Business is $4 and Enterprise $5 per user a month billed annually (checked on 27 October 2026).

### How does Outline's MCP server sign in?

By default with OAuth: you add the server URL to your client and a login window appears. An API key sent as a bearer token also works, and an admin can switch MCP off for the whole workspace. Outline supports the Streamable HTTP transport only (checked on 27 October 2026). LotsNotes also signs in with OAuth and has a REST API key for agents that run without a browser.

### Outline or Notion: which one should I pick?

They aim at different jobs. Outline is a focused team knowledge base with a flat monthly price for small teams. Notion is a wider workspace for docs, databases and projects. Both run a hosted MCP server that signs in with OAuth, and Notion offers tokens for headless use on Business and Enterprise (Notion's MCP docs, checked on 27 October 2026). If the question is what to give your AI agents as shared context, see [LotsNotes vs Notion](https://lotsnotes.com/blog/lotsnotes-vs-notion).

### Can I use LotsNotes and Outline together?

Yes. Connect both MCP servers to the same agent. Keep long documents in Outline, and keep the short context every agent reads first in LotsNotes, with an AGENTS.md note that tells agents when to look in Outline.
